Even with the best structure, there is one thing that will always break your flow: The "Quick Request."
You know the ones. The "Can you just...?" emails or the "Do you have 5 minutes for a call?" messages that arrive right when you finally found your focus.
Most of us react in one of two ways:
- The Guilt-Yes: We say yes, lose our deep-work hour, and end the day feeling behind.
- The Stress-No: We ignore it, feel guilty, and eventually send a frantic, over-explaining apology.
The problem isn't the request. It’s the lack of a Boundary System.
A boundary isn't a "no." It’s a pre-decision. It’s deciding before the email arrives how much of your energy is available for others, and how much is reserved for your own "finishable moves."
Here is a simple 3-step logic you can use today:
- Define the "Stop" Time: Decide exactly when you stop looking at your inbox. Not "when the work is done," but a hard clock time.
- The 24-Hour Buffer: Never answer a "can you just?" request immediately. Give yourself 24 hours to decide if it actually fits your capacity.
- Use a Script: Don't reinvent the wheel every time. Have a "standard response" ready that says, "I’d love to help, but I’m currently in a deep-work block. I’ll be back in my inbox on [Day]."
